The short answer
A managed service provider (MSP) takes ongoing responsibility for your IT for a fixed monthly fee, instead of charging you each time something breaks.
Break-fix vs managed services
With break-fix, you call when something fails and pay by the hour. The provider earns more when things go wrong. With managed services, the fee is the same either way, so the provider is motivated to prevent problems through monitoring, patching and planning.
What an MSP typically includes
Helpdesk support, 24/7 monitoring of devices and servers, patch management, endpoint security, email security, backup management, Microsoft 365 administration, documentation, onboarding and offboarding of staff, and strategic planning with a virtual CIO.
Fully managed vs co-managed
Fully managed means the MSP is your IT department. Co-managed means the MSP works alongside an internal IT person, providing extra hands, after-hours cover, security tooling and senior escalation.
When it makes sense to switch
Usually when downtime starts costing real money, when staff join and leave faster than IT can keep up, when insurers or clients ask for security evidence, or when one internal person has become a single point of failure.
The security case
According to the Australian Signals Directorate’s Annual Cyber Threat Report 2024–25, the ACSC received over 84,700 cybercrime reports in the year, about one every 6 minutes. The average self-reported cost per report was $56,600 for small businesses (up 14%) and $97,200 for medium businesses (up 55%). A good MSP puts the controls in place that reduce that risk and documents them.
How to choose one
Look for a written SLA, proactive monitoring, security you can evidence, a named team, industry experience and fair contract terms. See our guide on what to look for in a new IT provider.
