The Outlook app is the way we recommend getting work email on an iPhone or iPad: it handles multi-factor sign-in properly and keeps work mail separate from personal mail.
Step by step
- Install the app. Open the App Store, search for Microsoft Outlook and install it. It is free.
- Open Outlook and add your account. Open the app and tap Add Account. If you have used it before, tap the icon in the top-left corner, then the settings cog, then Add Mail Account.
- Enter your work email address. Type your full work email address and tap Continue. Do not type a password on this screen.
- Sign in on the Microsoft page. Outlook hands you to the Microsoft sign-in page. Enter your password there.
- Approve the multi-factor prompt. Approve the notification in your authenticator app, or enter the code sent to you. If you have not set this up yet, see our guide on turning on multi-factor authentication.
- Allow notifications. Tap Allow so new mail alerts come through, then skip or add any other accounts when prompted.
If it does not go to plan
- It keeps asking for your password: check your authenticator app for a prompt waiting to be approved.
- "Your account needs to be updated": go to the settings cog, tap your account, then Reset Account.
- You are asked to install Company Portal: that is normal if your workplace manages devices. Install it and follow the prompts.
